Terms & Condition - Hotel Booking

A. Booking Policy

  1. All bookings must be made at least 7 days in advance and are subject to room availability.
  2. 50% deposit is required at the time of booking to secure the reservation.
  3. Full payment must be made at least 48 hours before check-in date.
  4. Booking confirmation will be sent via email or Whatsapp once payment is received.

B. Cancellation Policy

  1. Cancellation by Guest :
    • Cancellations made more than 72 hours before check-in : Full refund minus a 10% processing fee.
    • Cancellations made within 48 – 72 hours before check-in : 50% refund of the total booking value.
    • Cancellations made less than 48 hours before check-in due : No refund.
  2. Cancellation by KOP Travel & Tours :
    • In the rare event of cancellation due to unforeseen circumstances, a full refund will be provided, or alternative arrangements will be offered.

C. Rescheduling Policy

  1. Rescheduling requests must be made at least 48 hours before the check-in date and are subject to room availability.
  2. An administrative fee of RM50 applies for each rescheduling.

D. Penalty for Changes

  1. Any reduction in the number of nights or rooms booked within 48 hours of the check-in date will incur a penalty equivalent to one night’s room rate per room.
  2. No show guests will forfeit the full booking amount.

E. Additional Notes

  1. Check-in time is from 3:00pm, and check-out time is by 12:00pm. Early check-in or late check-out requests are subject to availability and may incur additional charges.
  2. Rates are inclusive of applicable service charges but exclude Tourism Tax for foreign citizens.
  3. Special requests (e.g., extra beds, specific room views) are subject to availability and may incur additional fees.

Terms & Condition - Transport

  1. Rates
    • The rates provided include vehicle rental with a driver, fuel, toll fees, and standard parking charges unless otherwise specified.
    • Prices are subject to changes during public holidays, peak seasons, or special events.
  2. Booking Policy
    • Bookings must be made at least 48 hours in advance and are subject to vehicle availability.
    • Full payment or a 50% deposit is required to confirm the booking. Remaining balance is payable on the service date.
    • Confirmation of the booking will be sent via email or WhatsApp once payment is received.
  3. Cancellation Policy
    • Cancellations made more than 48 hours before the scheduled service will incur a 10% administrative fee of the total booking amount.
    • Cancellations made 24-48 hours before the scheduled service will incur a 50% penalty of the total booking amount.
    • Cancellations made less than 24 hours before the service or no-shows are subject to 100% penalty, and no refund will be provided.
  4. Rescheduling Policy
    • Rescheduling is permitted at least 24 hours before the original booking time and is subject to vehicle availability.
    • An RM50 administrative fee will apply for each rescheduling request.
  5. Waiting Time
    • A grace period of 15 minutes is allowed for pick-ups.
    • Additional waiting time beyond the grace period will be charged as follows:
      • Car (1-2 Pax): RM30 per 30 minutes

      • MPV: RM40 per 30 minutes

      • Van (10 Seater): RM50 per 30 minutes

      • Van (18 Seater): RM60 per 30 minutes

      • Alphard/Vellfire: RM75 per 30 minutes

  1. Usage Beyond Booking Hours
    • For additional hours beyond agreed duration, the following hourly rates apply :
      • Car (1-2 Pax): RM75 per hour

      • MPV: RM90 per hour

      • Van (10 Seater): RM120 per hour

      • Van (18 Seater): RM180 per hour

      • Alphard/Velfire: RM270 per hour

    • Additional hours are subject to availability and must be agreed upon with the driver
  2. Inclusions and Exclusions

    • The service includes pick-up and drop-off from designated locations within Kuala Lumpur and Putrajaya, unless stated otherwise.

    • Entrance fees, meals, and other personal expenses are not included unless specified in the package (e.g., “HALF DAY CITY TOUR + ANY ENTRANCE TICKETS WITH LUNCH”).

  3. Vehicle Usage and Conduct

    • Passengers are responsible for maintaining cleanliness in the vehicle during usage. Any excessive dirt or damage caused by passengers may incur a cleaning or repair fee.
    • Smoking, eating, and drinking (except water) are prohibited inside the vehicle.
  4. Liability
    • The company shall not be held responsible for any delays caused by traffic, weather, or other unforeseen circumstances beyond its control.
    • Passengers are responsible for ensuring they carry all personal belongings when leaving the vehicle. The company is not liable for lost items.
  5. Additional Charges

    • Surcharges may apply for services provided outside standard operational hours (10:00 PM – 6:00 AM) or for routes involving significant detours.
    • Any special requests, such as specific routes, additional stops, or other requirements, may incur additional charges based on feasibility.
